The single decision that changes the quote most is fresh against preserved. Neither is better. They fail in different ways and they suit different events.

A common and sensible answer is a mixed build: a preserved or foliage base carrying the structure, with fresh focal flowers added on the morning. It holds through a long day and still looks alive in the photographs.

Sizing a piece to the room
Most installations that disappoint are the right design at the wrong scale. These are the proportions that hold across venue types.

What the venue decides before you do
An installation is the one part of a floral brief where the venue has more say than the client. Five venue facts settle what is possible, and all five should be confirmed before a design is drawn.

We ask these before quoting. A quote written without them is a guess, and the gap usually appears on the day as an access surcharge or a piece that cannot legally be installed.
Outdoor installations and wind
Wind is the most underestimated factor in Australian outdoor installations, because site visits happen in the calm of a weekday morning and ceremonies happen in the afternoon. A 2.4 metre backdrop presents roughly six square metres of sail area. At 25 kilometres an hour that is a meaningful load on a frame designed for a ballroom.
- Weight the base, always. Sandbags, water ballast or stakes where the site permits them.
- Reduce the sail area. Asymmetric corner sprays catch far less wind than full coverage and photograph just as well.
- Choose varieties that hold. Natives, orchids and firm petalled flowers survive sustained wind. Soft petals shred within the hour.
- Install late. Wind and sun both build through the day, so earlier is not safer for an outdoor fresh piece.
- Agree who calls it. A wet weather or wind decision needs a named person and a deadline, usually three hours before the ceremony.

Confirm these with the venue before the piece is designed, not after.
- The access window for install, and whether it clashes with another booking
- Loading dock or lift dimensions, and whether a trolley can reach the room
- Whether the venue allows fixings to walls, floors, pews or ceilings
- Rigging points and load limits in writing for anything hanging
- Whether the piece must be removed the same night or can be collected next morning
- The wet weather plan, and who decides when it is called
- Any after hours or security surcharge for a late pack down
Late pack down is the line most often missed. A venue that closes at midnight and charges for staff after it will add more to the night than the arch did.
